About the role

B&H Specialty Construction is a Sarasota-based general contractor serving Sarasota, Longboat Key, Siesta Key, and the surrounding Gulf Coast communities. We manage complex, high-value residential, commercial, and specialty construction projects that demand precision, professionalism, and exceptional client service.

We are seeking a highly organized and proactive Operations Administrator to support the daily operations of our growing construction company. This role serves as the central hub between project management, accounting, compliance, vendors, subcontractors, and company leadership.

The ideal candidate thrives in a fast-paced environment, is detail-oriented, and can confidently manage multiple priorities while maintaining a high level of professionalism.

Responsibilites

Administrative & Office Operations

  • Manage daily office operations, scheduling, and correspondence

  • Maintain organized project, contract, and compliance records

  • Support company leadership with administrative needs

  • Assist with proposals, scopes of work, and client-facing documents

Project & Vendor Coordination

  • Assist with purchase orders, material procurement, and vendor management

  • Coordinate permits, inspections, and project documentation

  • Support project managers with scheduling and operational logistics

  • Track subcontractor agreements, insurance certificates, W-9s, and compliance requirements

Accounting & Financial Support

  • Process accounts payable and receivable

  • Assist with invoicing, payroll coordination, and expense tracking

  • Maintain accurate records within QuickBooks

  • Support budgeting and project cost tracking

Business Development Support

  • Manage incoming leads and client inquiries

  • Maintain CRM records and lead tracking systems

  • Coordinate follow-up communications and client onboarding activities

qualifications

Required

  • 3+ years of administrative, office management, project coordination, or related experience

  • Strong organizational and time management skills

  • Proficiency in Microsoft Office, Google Workspace, and QuickBooks

  • Excellent written and verbal communication skills

  • Ability to manage multiple projects and deadlines simultaneously

Preferred

  • Construction industry experience

  • Experience with JobTread, Buildertrend, Procore, or similar platforms

  • Knowledge of subcontractor compliance and insurance requirements

  • Associate’s or Bachelor’s degree in Business, Accounting, Construction Management, or a related field
